How to Take Control of Your Inbox with Gmail Rules

Hey there! Is your inbox feeling a little overwhelming lately? I can relate. My inbox used to give me major anxiety until I learned how to use Gmail rules – aka filters – to automatically organize and manage the email chaos.

Now I want to share my insider techniques with you so you can reclaim your productivity and peace of mind!

Let me paint the picture… It‘s Monday morning. You grab your morning brew, sit down with your laptop excited to start the work week strong when – loading inbox – 1729 unread messages appear. 😱

Not the motivational view we wanted right? Unfortunately this is the average inbox many professionals face today.

Global emails sent per day have skyrocketed from 92 billion in 2009 to 305.7 billion in 2022. And that tidalwave lands right in our inboxes. No wonder we‘re drowning!

This bombardment doesn‘t just impact productivity through wasted sorting time and buried important messages either. Excessive email has been linked higher stress levels, reduced mental well-being, and increased workplace burnout in studies.

So getting inbox under control is no longer just organization for organization‘s sake. Our mental health depends on it!

Luckily Gmail provides an excellent built-in tool to automatically filter and process the firehydrants worth of emails we deal with – rules!

And I‘m going to show you step-by-step how simple it is to set them up.

Rules to the Rescue!

Rules, also called filters, allow Gmail to essentially organize and manage emails automatically on your behalf.

You simply define the logic – if subject contains X or sender is Y then apply label Z – and Gmail handles the tedious sorting and filing behind the scenes from then on. 💫

Here are a few examples of awesome things rules can do for you:

  • Label/file marketing emails directly to newsletter folder
  • Forward booking confirmations to your travel folder
  • Mark urgent emails from your boss as high priority
  • Skip the inbox and archive friends‘ travel pics directly
  • Never miss an important message again in a sea of noise!

Let me show you how simple it is…

Setting Up Your First Rule

While you can create rules from Gmail Settings, the easiest way is right from your inbox:

1. Select the Email Example

Start by opening any message you want to base a rule on – for this example we‘ll use a newsletter – and select the checkbox icon to check it:

This selects the message so Gmail can reference the contents.

2. Open the Rules Builder

Next we‘ll open the Rule creation popup by clicking the three dot ("hamburger") menu icon and selecting Filter messages like these:

This will launch the rule builder window.

3. Define Filter Criteria

Here we define our matching logic. Gmail automatically fills in the From and Subject fields but we want this rule to apply to all emails from [email protected] so delete the specific subject text:

Leaving just the sender email address.

4. Choose Label & Archive Action

Finally we decide what action to take on matched emails. Let‘s label them "Newsletters" and mark them as read automatically since it‘s not urgent content:

That archives them out of the inbox after applying our custom Newsletter label!

5. Save Your Rule!

Review the preview for accuracy then click Create filter and we‘re all set!

This saved rule will now automatically apply in the background as soon as you receive a matching email in the future. Pretty cool right?

With just 5 minutes I was able to set up automation that would have taken me countless hours manually sorting newsletters one by one otherwise. ⏱💡

And that works for all kinds of scenarios – trip confirmations, team event invites, friend updates you name it!

Pro Rule Tips from a Pro User

I‘ve personally implemented over 50 custom rules that run in the background keeping my inbox flowing smoothly and stress-free.
